Pantone Matching Basics: From Hex to Spot Color

A brand manual that lists Pantone codes and a website that lists hex values are describing the same identity in two incompatible languages. Pantone matching basics come down to translating between them honestly: knowing that every hex-to-Pantone match is an approximation, understanding why the system exists at all, and being able to find the nearest standardized code when a vendor asks for one. Why print vendors ask for Pantone codes, not hex

The scenario that sends people here.

You're ordering branded merchandise, signage, or packaging, and the vendor's spec sheet has a field for a Pantone number. Sending them #003DA5 doesn't help, because their press doesn't mix light and their operator can't pour a hex code. What they can do is pull a premixed ink formulated to a published standard, so the blue on a tote bag printed in one country matches the blue on letterhead printed in another.

That repeatability is the entire product. A Pantone code is a contract about ink, which is why brand teams treat brand colors in pantone form as the canonical reference and derive screen values from them, not the other way around.

It also explains the direction of authority in a rebrand. Agencies pick the ink standard first, under controlled lighting, then publish hex and CMYK derivatives in the brand book. If your website's blue and the letterhead's blue disagree, the letterhead usually wins the argument.

Spot colors vs process colors: two kinds of ink job

The distinction that decides your print budget.

Process printing builds every color from CMYK dots, which is economical for photographs and many-colored layouts but approximates each specific color. Spot printing uses one premixed ink per color, hitting the target exactly and reaching colors process inks can't, like heavily saturated oranges and certain blues, at the cost of a separate plate per ink.

The practical rule: multi-color artwork goes process, while a logo appearing in one or two exact brand colors is a candidate for spot. Plenty of jobs mix both, running CMYK plates plus one spot plate for the logo.

A worked match: from #003DA5 to Pantone 287 C

What the finder actually computes.

Paste #003DA5 into the Pantone Color Lookup and the nearest-match card returns Pantone 287 C, the standard navy, as a perfect hit, because 287 C's published screen equivalent is exactly #003DA5. Feed it something slightly off, like a blue sampled from a photo, and the tool ranks all 40-plus curated Solid Coated entries by Delta E, a perceptual distance computed in Lab space, and shows the smallest.

Delta E matters here. Two colors can be close in raw RGB numbers yet look clearly different, and the reverse. Perceptual distance ranks candidates the way your eye would, which is the only ranking a brand reviewer will accept.

A second verifiable example: #C8102E comes back as Pantone 186 C, the red used across countless sports and retail identities, again at zero distance because that hex is the published equivalent. Sampled reds from photos will land near it with small positive distances, and the size of that number tells you how much explaining you'll owe the brand team.

Pantone matching basics, and the mistakes that break them

Where translations go wrong.

The failure modes are mostly about forgetting which direction the approximation flows.

  • Treating the on-screen swatch as the color. A Pantone ink like 165 C orange is more vivid than any monitor can show; the hex equivalent #FF6900 is a stand-in, not the standard.
  • Matching against an uncalibrated screen in a dim room, then approving ink against that memory. Physical chips under decent light are the reference.
  • Assuming coated and uncoated versions look alike. The C suffix means coated stock; the same ink on uncoated paper reads noticeably softer.
  • Reverse-engineering a brand color from a compressed JPEG of the logo, which shifts hues before you even start matching.

Tips for pinning brand colors to Pantone references

Record the full trio for every brand color: the Pantone code, its published hex equivalent, and the CMYK recipe for jobs that will run process. Deciding those once, in good light, with a physical guide, prevents every future vendor conversation from reopening the question.

When your exact color sits between two Pantone candidates, order printed chips of both before committing. The few days of delay costs nothing next to a pallet of packaging in the wrong blue, and marginal Delta E differences often flip direction under warm retail lighting.
